The Problem
HMO landlords running multiple tenancies manually face the same failure mode repeatedly — information scattered across texts, spreadsheets, and paper files means nothing is visible until it is urgent. Mercy Housing at 49 Woodfield Road was tracking rent, maintenance, tenancy renewals, and compliance documents across disconnected systems with no single view of which tenant needed attention and why. Maintenance requests came in over WhatsApp and got lost. Tenancy agreements sat in folders with no automated expiry tracking. Right-to-rent checks were uploaded without any verification workflow — a document existing in a folder is not the same as a document being confirmed compliant.

Solution
Tenants sign in to report maintenance issues, check their rent status, hand in notice to leave, and message management directly — removing the need for WhatsApp as the default communication channel. Management see every property, tenant, maintenance ticket, rent payment, tenancy expiry, and compliance document in one dashboard. The kanban-style maintenance board shows ticket status across every property at a glance. The document verification workflow goes beyond simple upload — a tenancy agreement or right-to-rent check is not marked compliant until a manager has explicitly reviewed and confirmed it. Rent is overridable per tenancy rather than fixed per room, giving flexibility for individual pricing arrangements. Data access is designed so a tenant is structurally unable to see another tenant's records — not just hidden in the interface, but prevented at the data layer. Why this worked: - Verification not just upload: Documents are not compliant until confirmed — the platform closes the gap between a file existing and a file being valid. - Structural privacy: Tenant data isolation is enforced at the database level, not the UI level — the kind of decision that protects operators legally, not just practically. - Scaled from day one: The data model was designed for multiple properties from the start, so growth does not require a rebuild — just adding properties to an existing system.
